👤How to Change the Profile in a Campaign on PodPitch

Managing email settings and assigning the right profile to a campaign is key to ensuring your outreach runs smoothly. Here’s how to change the profile (email sender) connected to a campaign.

Here’s how to update it:


Step 1: Go to Campaigns

From your dashboard, click Campaigns in the left-hand menu.


Step 2: Select the Campaign

Choose the campaign you want to assign to a different profile.


Step 3: Switch to a Different Profile

A campaign can only use the email connected to a profile.

To change the sender:

  1. Go to Profiles.

  2. Make sure the profile you want is active (use Fill This Seat if needed).

  3. Return to Campaigns and assign the campaign to the correct profile (or recreate it with the correct profile).

  • Handling Seat Limits: If you encounter seat limitations preventing you from switching profiles, you may need to deactivate a campaign instead of deactivating an entire profile to free up necessary resources.

⚠️ Important:


PodPitch does not allow editing the sender email inside a campaign’s settings.
The email always comes from the active profile tied to that campaign.


If You Need to Change the Email for a Profile

If you want the same profile but with a different email address:

  1. Go to Campaigns → Settings → Email Settings

  2. Remove the current email

  3. Connect the new email

  4. The profile will now send from that newly connected email

  5. All campaigns tied to that profile will update automatically

  • No Need for Seat Deactivation: Changing the email at the profile level does not require deactivating a seat. Only profile-level changes will affect tied campaigns.

⚠️ This affects all campaigns using that profile — not just one.


Tips for Managing Profiles & Emails

Make sure the email is fully connected/authenticatedProfiles = sending identity (name, bio, signature, email) ✔ Changing the email = profile-level change, not campaign-levelIf seat limits prevent switching profiles, deactivate one to free a seat To Set a Profile to Inactive:

  1. Navigate to the Profiles page on your PodPitch dashboard.

  2. Locate the profile you wish to modify.

  3. Open the profile details.

  4. Find the Status or Active/Inactive toggle.

  5. Switch the toggle to the "Inactive" position to free up associated seat allocations. ✔ Changing Emails: Profile-level email changes do not require seat deactivation but will propagate changes across all associated campaigns. ✔ Campaign Deactivation vs. Profile Deactivation: Deactivate campaigns rather than entire profiles when managing limited seat availability for efficiency.
