How to Check Replies

Step 1: Go to Campaigns

From your PodPitch dashboard, click Campaigns in the left-hand menu.

Step 2: Select Your Campaign

Choose the campaign you want to review.

Step 3: Open the Replied Section

Click Replied at the top of the campaign queue.

You’ll now see a list of all podcasts or journalists who have responded to your pitch.

  • Scroll to browse through the list

  • Click Next at the bottom if you have multiple pages of replies

  • Select any podcast to view the full reply thread

💬 Why Replies Might Not Be Showing

If you’re expecting replies but not seeing them, here are the most common reasons:

1. Email Connection Issues

  • Email disconnected → Your Gmail/Outlook connection may have expired

  • Authentication problems → SPF/DKIM/permissions may be broken

  • Solution: Reconnect your email in Settings → Email Settings

2. Reply Threading Behaviors

  • Hosts reply from a different email address

  • Hosts forward your pitch to someone else who replies

  • Replies come as a new email, breaking the thread
PodPitch only tracks replies tied to the original conversation thread.

3. Campaign Status

  • Campaign is paused

  • Campaign is archived

  • Smart Pitch was turned OFF before the reply came in

4. Timing Delays

Replies sync every few minutes — not always instantly.

5. Sequence Issues

  • The pitch sequence was stopped manually

  • The contact unsubscribed

  • The original pitch had a sending error

6. Your Email Setup

  • Filters in Gmail/Outlook moved the reply

  • You changed your email settings recently

  • You manually emailed outside PodPitch

PodPitch can only track replies that hit the same inbox and thread it sent from.
