How to Use Voices to Improve AI-Written Emails

The Voices feature in PodPitch helps you train the AI to write emails that match your personal style, tone, and structure. By providing a few examples, you can make sure your outreach emails sound authentic and aligned with your goals.

Step 1: Open Voices

  1. From your dashboard, click Voices in the left-hand menu.

  2. Scroll down and click Create a New Voice.


Step 2: Name Your Voice

  • Give your new Voice a title that describes the style.

    • Example: PR Team Third Person or Founder First Person.


Step 3: Add Sample Emails

  • Paste in at least six emails that represent the tone you want the AI to learn.

  • These can be:

    • Real pitches you’ve written in the past.

    • Example drafts that capture your preferred style.

💡 Tip: The AI learns best when your examples are consistent in grammar, tone, and structure.


Step 4: Create and Save Your Voice

  • Once you’ve added six emails, click Create Voice.

  • Your new Voice will now be available for PodPitch AI to use when writing outreach emails.


Step 5: Apply Your Voice to Campaigns

  • When creating or editing a campaign, select your saved Voice.

  • If you’ve already launched a campaign, click Rewrite Emails to refresh them with your new Voice style.


Best Practices

  • Provide at least six high-quality samples — vague or mixed-tone emails won’t give good results.

  • Decide if you want to pitch in the first person (as yourself) or third person (as your PR/marketing team).

  • Update or create new Voices if your brand tone changes over time.
