How to Create a Smart Template
1. Open your campaign settings
Go into your campaign settings and look for the Design Sequence icon.
2. Choose your outreach type
When creating your first outreach email, you’ll see two options:
PodPitch Generated: standard auto-generated emails
Smart Template: an option for customized email templates
Select Smart Template.
3. Click Create New
Once you choose Smart Template, click Create New to start building your template.
4. Name your template
Give your template a clear name so it is easy to identify later.
5. Add your email content
Build out the email body with the messaging you want to send.
You can either:
Write your own content from scratch
Start from one of the suggested templates, such as Warm Opener
6. Use variables in curly brackets
Smart Templates support variables, which are pieces of information the system can fill in automatically.
Examples include:
{{title}}
{{host}}
Anything shown in curly brackets is treated as a variable.
7. Use the variable list on the right
On the right-hand side, you’ll see a list of available variables you can use in your template.
You are not limited to only those suggested options. You can also create your own custom variables if needed. Just type {{ and fill in what information you’d want the variable to use, for example:
{{reference how a recent episode fits the topics I talk about}}
8. Edit the wording to fit your style
You can shorten sections, rewrite lines, and adjust the closing to match how you want the email to sound.
9. Preview the template
Click Preview to see how the template looks once your variables and content are applied.
This is a good time to check:
Tone
Flow
Personalization
Overall readability
10. Create templates for follow-ups too
After building the first template, you can create second and third outreach templates as well.
The tool understands where the email sits in the sequence, so it can adjust the messaging appropriately for follow-up emails.
11. Decide whether to use Light Smoothing
You’ll also see a Light Smoothing option.
This feature lightly adjusts nearby wording so the email reads more naturally when variables are included..
If you prefer the wording to stay exactly as written, you can turn this off.
12. Choose which emails to apply it to
Once everything looks good, you can click “create template” and choose one of two options.
Apply to future emails only
This will apply the template only to new emails generated in your campaign; either by adding more podcasts/outlets/newsletters or by manually regenerating emails.
Apply to all emails
This will apply the template to existing emails in your campaign and all new emails generated from this point.

Keep your base message simple and conversational
Use variables for the details that should change from prospect to prospect
Preview before going live so you can catch awkward phrasing
Create separate templates for first touch and follow-ups instead of reusing the exact same message

What’s the difference between PodPitch Generated and Smart Template?
PodPitch Generated is the default auto-generated emails that you would otherwise see if a template is not used. Smart Template gives you more control over the message structure, wording, and personalization.
What are variables?
Variables are placeholders that get filled in automatically, like podcast title or host name. They appear in curly brackets inside the template. We use details from your profile, campaign, and information related to the recipient of your pitch to inform the variables.
Can I create more than one template in a campaign?
Yes. You can create as many templates as you need and even use the same template across multiple campaigns of the same type.
What does Light Smoothing do?
Light Smoothing makes small wording adjustments so the wording that is used on either side of variables flow more naturally. You can switch it off if you want more direct control over the wording.
